1. Selection of a damaged file to be recovered

Right after Recovery Toolbox for PDF is started, you will see a pdf file selection window. You can choose the necessary file in one of the following ways:

Enter the file name and path into the Source file name (.pdf): field located in the main working area of the program. When you start entering the name of the file and its path, the software will automatically fill the field with information from the list of files you have already recovered. The software uses the name of the last opened file matching the information being entered.
Choose a file to recover using the standard file opening dialog. This dialog can be brought up using the Open button to the right of the Source file name (.pdf) field. If the dialog is opened for the first time, it will start in the Recovery Toolbox for PDF installation folder. In the future, it will open the folder specified in the input field or, if it can't open this folder or the field is empty, will use the last folder opened with it.
Select a previously opened file from the dropdown list of the Source file name (.pdf) field. The software saves the names of the files opened by the user and paths to them in its settings and allows you to quickly reopen them in the future. If necessary, the list of recently opened files can be cleared using the Tools | Clear lists | Source files command.

Once you have chosen a file to be recovered, it is recommended to check and modify the program's recovery settings. The settings window can be opened by the Tools | Options command. The program settings of Recovery Toolbox for PDF are described in chapter 2.

There is a button labeled Send a file to developers in the lower part of the screen that allows you to send a pdf file to the authors of Recovery Toolbox for PDF. You can also send a file at any time using the Tools | Send source file command.

Once you have chosen a document and configured its recovery parameters, press the Analyze button at the bottom of the program window. The analysis process is described in chapter 3.

If the program is unable to find the document at the specified location, you will see the following message: Please select an existing file to recover. In this case, the program will not proceed to the next step.

2. Configuration of default program settings

The program settings dialog allows you to specify the default recovery parameters. These parameters are needed if the source pdf file does not contain any information about page sizes and orientation.

Setting the default page size in Recovery Toolbox for PDF is an optional step. The program settings dialog can be brought up using the Tools | Options command.

The program settings window contains the following sections:

Paper format. If the page being recovered does not have a specified size or this part of the file has been damaged, the user of Recovery Toolbox for PDF can specify the default page size.
This section enables you to select one of the most popular sizes from the dropdown list - A4 (8.3 x 11.7 inches), Letter (8.5 x 11 inches) or specify a custom format (). If you select one of the standard sizes, you can specify the page orientation using the dropdown list on the right - Portrait or Landscape.
When using a custom page size, the ability to specify page orientation will be blocked and you will be able to enter two page parameters - Width and Height. They determine the page dimensions in units specified in the Units dropdown list - inches or centimeters.

If you need to restore the default settings, you can use the Set defaults button.

Once the above parameters have been set, the program saves them and uses for future recoveries (even after it is restarted).

3. Analysis of the contents of the original document

Once you have selected a file to recover and pressed the Analyze button (see point 1), the program proceeds to the document analysis stage.

Recovery Toolbox for PDF performs the following recovery actions:

Reads the document structure, detects the offsets marking the beginning of internal cross-link tables, identifies them, scans and identifies other objects in the source file. It also identifies other parameters of the PDF document.
Extracts the page format information from the document. If this information cannot be extracted, the software will use the parameters specified in the program settings.
Reads the information about internal cross-links. PDF documents use internal cross-links that define the way data are stored in them.
Identifies metadata stored in the document. Some PDF documents contain embedded fonts used in them. The program needs to extract these data and save them into the output file.
Reads text data from the document. Many PDF documents contain large amounts of text data and hyperlinks.
Extracts graphics and other media data from the document. Besides texts, PDF documents may contain vector and bitmap graphics, forms and multimedia components.

The following analysis-related information is displayed in the main part of the program window:

A progress bar for the Parsing file process. Besides the file analysis progress bar, the program also shows the analysis percent value, the volume of processed data and the full size of the file in the bar header.
Information about errors detected during the recovery process. If all the records in the file are correct, you will see the No errors found message in green or the X errors found in red, where X is the number of errors detected.

Once the software has finished analyzing your PDF document, it automatically proceeds to the next stage, where you can select the name and path of the output file.

4. Selection of the name of the output *.pdf file

This stage allows you to select the path and name of the file to be used for saving data from the damaged PDF file. The file can be selected in one of the three ways:

By entering the path and name of the file manually into the Please select file name field located in the main working area of the program. When the window is shown, this field with a dropdown list is automatically populated with the following information: the path to the file to be used for saving the recovery results in the folder the original file was located in. The name of the destination file is composed of the original file name and the _repaired suffix. For instance, if the program processed a file named example.pdf, it will suggest saving the destination file as example_repaired.pdf in the same folder the original file was located in.
By selecting the file using a dialog. The Open button located to the right of the field with a dropdown list enables you to open the standard Open File dialog. When the dialog is opened, the program suggests saving the file in the same folder and with the same name that were specified in the field with a dropdown list.
By selecting the file from the dropdown list of the Please select file name field. The program saves the information about previously saved files in its settings and populates the dropdown list with the saved values (file names and paths) when the file selection window is opened. If necessary, the list of saved files can be cleared using the Tools | Clear lists | Output files command.

In addition, the main part of the programme displays information about the possible size of the recovered file and information about the free space on the selected disk for saving the file.

If necessary, by pressing the Back button, you can return to the phase of file selection for saving.

To continue the execution of the programme and go to the phase of selecting the format of the saved document, once the path and name of the saved file have been specified, press the Next button. If the programme detects that in the specified folder there is a file whose name matches the name of the file specified in the field, the alert message Selected file already exists. Overwrite? alert message will be displayed. If you click the Yes button, the file will be saved with the specified name. If you press the No button, the programme will return to the file selection phase for saving.

5. Selection of the version of the output *.pdf file

Recovery Toolbox for PDF can save recovered data from the original file in any PDF format - from 1.0 (Acrobat Reader 1.0) to 1.7 (Acrobat Reader 8.0). However, don't forget that saving a document in an older format may result in the loss or corruption of document data incompatible with this format.

You can select the format of the destination file in the Select output PDF file version: field with a dropdown list.

When the file format selection window is shown, the program automatically suggests saving the document in the format version matching that of the original document. If the source file has been damaged too badly and the software cannot detect it, it will suggest saving the file in the latest available format version (the current version of the program supports PDF 1.7, Acrobat Reader 8.0).

Compression can also be used for saving files. If you use compression, the resulting files will occupy less space on the hard drive, but the document saving process may take longer to complete. Compression can be enabled using the Enable compression checkbox.

Once you have finished configuring the format of the output file, press the Save file button at the bottom of the program screen to proceed to data recovery and saving.

6. Document recovery and saving

The process of data recovery and saving is fully automated and does not require any user's involvement. The program performs the following actions:

Question: How can I recover a PDF if the remote computer rebooted during optimization?

I’m connecting via RDP from a Microsoft Surface Pro 8 tablet running Windows 11 Pro to an HP Z2 G5 workstation running Windows 10 Pro 22H2, which has Adobe Acrobat Pro 2020 installed. On the workstation, I was optimizing a large PDF 1.6 technical report, but while I was saving my changes, Windows forced a reboot to complete an update. Now, when I navigate to the charts, I get the errors “There was an error processing a page. Invalid Function resource.” and “There was an error processing a page. Too few operands.” This is the only version of the report I have left with the corrected measurement results, and logging back into RDP and copying it to my tablet didn’t help. Please advise how to restore the PDF file to a usable state and how to fix the broken PDF file so I can show the client the available pages.

Run an analysis of the selected file in the demo version to assess what remains accessible. To effectively repair corrupted PDF files and recover their content, you need to verify not only that the pages open but also that the letters, numbers, and images are correct. In the licensed version, save the data as dossier_recovered.pdf by selecting PDF 1.7 and the desired compression mode. The problem was that after the 4th page the document could not be viewed further, although there were still 14 pages.
The restored file unfortunately did not restore the document in the desired form - tables, footnotes, etc.

But at least we managed to restore the literature in the file, for which a HUGE THANK YOU - no need to select it again.

I was working remotely and using the VPN to connect to my company's network. The corrupted file, resided inside one of the company's drive and when I left the file opened after putting my laptop to sleep, the PC must have lost connection to the network. The loss of network connection may have prompted the PDF editor ( Bluebeam Revu 20) to try to save but failed to do so. The next morning when I checked the PDF editor (which remained opened overnight),there was an error message that I did not have the chance to read and the PDF editor closed automatically. After that I could not open the file again.

I have 453 documents to recover. Minus 1 star because this tool only allows a single file selection. After tediously processing 115 files, only 15% have been recovered with very few being accurate. I dug up all the topics on the Adobe support site, but I could not find a solution to the problem with opening the .PDF file. On the tech forum, support says that the file might have been damaged due to sending via mail, then I asked the client to upload the file to google disk, but this result is the same. When reading a .pdf file, Adobe Reader shows a message that the .pdf file format is invalid. The file was partially restored, I called support, where I was asked to send the file through the program. Very good program, could be the best thing on the market. the emphasis is on could, because unfortunately you can only repair one document. My hard drive is damaged and therefore about 3000 PDF files are damaged. Repairing each file individually is far too cumbersome, far too long and time-consuming. There is no way to specify the folder and the program should do the work alone in the background. It takes a few hours and that's missing. So an argument not to shortlist the program, otherwise great program if you have to repair a file.

I have spent all day trying to recover a corrupted PDF with an error in trailer syntax and the xref table. I downloaded different recovery tools, including Acrobat Pro, Stellar and Kernel then tried command line fixes with Ghostscript, PDFtk and Poppler. NOTHING. I did another search and found Recovery Toolbox for PDF. I tried the demo and my first page actually appeared in the restored version. So I paid $27, got a license, and I now have the restored 16-page file with comments (needed the comments the most). So I am posting a review to save the next person the entire day I just spent.
